E Board Positions

President or Co-Presidents: The President or Co-Presidents shall: 

  • Serve as the Executive Officer(s) of the PTA  

  • Preside at all meetings of the association  

  • Be members ex-officio of all committees except the Nominating  Committee  

  • Delegate responsibilities to other association members  

  • Encourage meaningful participation in all parent and school activities  

  • Attend all regular meetings of the Presidents’ Council  

  • Be a mandatory member of the school leadership team  

  • Meet regularly with the Executive Board members in accordance with these bylaws to plan the agendas for the general membership meetings  

  • Be included on the panel of eligible signatories for PTA checks pursuant  to Article IX, Section 2 of these bylaws  

  • Assist with the June transfer of association records to the incoming  Executive Board.  

  • Serve as a member of all Committees

Vice President or Co-Vice Presidents: The Vice President or Co-Vice Presidents  shall act as assistant to the President or Co-Presidents and preside in his/her or  their absence. At the request of the President or Co-Presidents, 

  • The Vice President or Co-Vice Presidents may, when necessary, act as the Executive Officer(s) of the organization. 

  • Obtain Permits for Fundraisers on school grounds.

  • Plan out and oversee all PTA events through the year. 

  • Guide event committees in the procedures of a PTA event.

  • Coordinate with communications secretaries about upcoming events to inform the general membership. 

  • The Vice-President or Co-Vice Presidents shall assist with the June transfer of association records to the incoming Executive Board. 


Vice President of Fundraising or Co VP of Fundraising:

The Vice President or Co-Vice Presidents of Fundraising  shall act as assistant to the President or Co-Presidents and preside in his/her or  their absence. At the request of the President or Co-Presidents, the Vice President or Co-Vice Presidents may, when necessary, act as the Executive  Officer(s) of the organization. The Vice-President or Co-Vice Presidents shall  assist with the June transfer of association records to the incoming Executive Board.  


  • Serve as the Executive Officer(s) of the PTA  

  • Preside at all meetings of the association  

  • Responsibilities include coordinating annual activities and events including our Annual PFAC (Gala)

  • Chair Fundraising committee

  • Develop communication for matching donors and monthly donor

  • Match fundraisers with budget line items 

  • Oversee Fundraising 


Vice President of Community Engagement or Co VP of Community Engagement:


  • Maintains direct contact and relationship with committee heads. Helps recruiting into committees.

  • Schedules and organizes coffee socials among the general membership and between admin when possible.

  • Works actively to build and maintain a cohort of volunteers from the community with distinct skillsets.

Recording Secretary or Co-Recording Secretaries: The Recording Secretary or  Co-Recording Secretaries shall: 

  • Record accurate minutes of all General Membership and Executive Board  meetings  

  • Prepare meeting sign-in sheets 

  • Present the minutes of the preceding meeting for review and approval at each meeting 

  • Maintain a binder of all meeting agendas, minutes, and sign-in sheets, and make such binder available for review upon request by any PTA  member  

  • Maintain custody of the association's records on school premises  

  • Incorporate all amendments into the bylaws and shall ensure that signed copies of the bylaws with the latest amendments are on file in the principal's office  

  • Assist with the June transfer of all association records to the incoming Executive Board.  

Communications Secretary or Co-Communications Secretaries: The  Communications Secretary or Co-Communications Secretaries shall: 

  • Apprise the PTA general membership of PTA and school meetings,  activities, and other matters, including distributing meeting notices. 

  • Assemble bi-weekly Newsletters which involves gathering all the news, drafting the content, coordinating with graphics, getting admin approval and sending out via Jupiter Blast

  • Manage social media- the PTA instagram account and school FB page

  • Coordinate with Class Parent Coordinators on all news that needs to get sent to parents

  • Coordinate with admin to create and distribute bi-anual calendar of events 

  • Review and respond to PTA correspondence and other such duties as  required; 

  • Assist with the June transfer of all association records to the incoming  Executive Board. 

  • Maintain a calendar of all events and communications to go with each event including social media post, jupiter blast, CP’s push and sometimes backpacking of flyers

  • Coordinate with all committees for their communications needs

  • Keep the PTA calendar current and accessible.

  • Serve as a member of all Committees for Calendar updates and communication circulars

  • Assist admin with maintaining the schools website 

Treasurer or Co-Treasurers: The Treasurer or Co-Treasurers shall Prepare and present a written report of all transactions at every executive  board and general membership meeting and give a copy of the report to  the principal and post a copy at the school. This report must include income, refunds, reimbursements, and other expenditures, and opening  and closing balances for the reporting period.

  • Be responsible for all financial affairs and funds of the association. 

  • Implement and adhere to all financial procedures established by the association 

  • Count and collect all monies received by the PTA and promptly deposit such monies in the bank

  • Keep an accurate and up-to-date record of all PTA income and expenditures, on school premises

  • Be included on the panel of eligible signatories for PTA checks pursuant  to article ix, section 2 of these bylaws 

  • Make available all books and financial records for viewing upon request  by any member, and for audit.

  • Work in conjunction with the Treasury Secretary to 

  • Assist with the June transfer of all association records to the incoming  executive board. Apprise the newly elected Treasurer or Co-Treasurers of the PTA's systems and methods of financial recordkeeping.


Treasury Financial Secretary or Co- Treasury Financial Secretary:

The treasury financial secretary will serve as a direct assistant to the treasurer/ co treasurers.


  • Serve as the Executive Officer(s) of the PTA  

  • Preside at all meetings of the association  

  • Be included on the panel of eligible signatories for PTA checks pursuant  to article ix, section 2 of these bylaws

  • Assist with the preparation of presentations in advance of Executive Board and General 

  • meetings. 

  • Prepare the association's interim and annual financial reports

  • Secure 1099’s from employees paid directly out of the PTA budget

  • Make available all books and financial records for viewing upon request  by any member, and for audit 


Technology Secretary or Co- Technology Secretary:

  • Maintaining the PTA google drives. 

  • Assist any officers or committee chairs with obtaining PTA email addresses.

  • Assist in building the PTA page on the school website.

  • Assist Comms secretary with maintaining the schools website in coordination with admin


Class Parent Coordinator or Co- Class Parent Coordinators:

The class parent coordinator (CPC) is a PTA Executive board position that serves as a liaison between our Parent Teacher Association, school admin, and all class parents (CPs). The role supports coordinating and disseminating communications and announcements to Class Parents and is heavily involved in coordinating and participating in community building initiatives throughout the year. The CPC is available to help answer or direct questions from CPs and families about the PTA, school initiatives, our community, etc. 

Responsibilities include: 

  • Securing class parents for each class / grade cohort, 

  • Orienting new Class Parents,  responding to emails and caregiver questions in a timely manner,

  • Creating digestible communications for CPs to share within their class, 

  • Supporting volunteer initiatives for our PTA and school events, 

  • Leading the staff holiday gift fundraiser

  • Preside at all meetings of the association

Requirements: capacity to spend 2+ hours / week on Class Parent Coordinator’s (CPC’s) initiatives


Graphics Communication Secretary or Co- Graphics Comms Secretary:

  • Be responsible for all front-facing graphics coming from the Executive Board

  • Tasks include designing PTA newsletters, flyers for events and committees and 

  • Create flyers and graphic posts for social posting to Instagram and Facebook
